Who this template suits

Suits cleaning companies quoting a recurring contract or a one-off deep clean.

What to include

  • The frequency and duration of each visit.
  • The tasks covered, so a deep clean is not read as a standard clean.
  • Consumables and equipment, either supplied or excluded.
  • Access arrangements and the notice needed to cancel a visit.

How to complete it

  1. Step 1

Measure the property or premises and agree the frequency.

  2. Step 2

Price visits, hours or square metres, whichever you actually charge for.

  3. Step 3

State consumables, key handling and the cancellation window.

Pricing, pitfalls and proof

  • How it is pricedPrice per visit for a fixed schedule and per hour for a variable task list, never both in one line.
  • Common mistakeQuoting a standard clean when the first visit is a deep clean, so the first invoice looks wrong.
  • Keep as evidenceNote the frequency, the products included and the access arrangements on the quote.

Questions about this template

Should I quote per hour or per visit?

Quote per visit when the scope is fixed and per hour when the client controls the task list. Mixing both in one quote makes the invoice hard to justify.

How do I handle a first deep clean?

Price it as a separate line before the recurring contract. It usually takes longer than a standard visit and should not be absorbed into the monthly price.

What about bank holidays and closures?

State the notice needed to skip a visit and whether skipped visits are charged. The terms section carries the clause so it does not become a monthly argument.

Can I add a quarterly deep clean?

Yes. Add it as a line with its own frequency and price instead of raising every monthly visit.
