Pricing, pitfalls and proof

  • How it is pricedInvoice stages per the contract, with retention and previous payments shown.
  • Common mistakeDeducting retention silently instead of stating the percentage and release date.
  • Keep as evidenceKeep the stage certificate, variation instructions and materials delivery notes.

Questions about this template

How should retention appear?

As a line or a note stating the percentage withheld and when it is released. Silent deductions cause disputes.

Can I invoice materials before they are installed?

Only if the contract allows it. State that the materials are on site and stored securely.

What about variations?

Bill approved variations as separate lines referencing the written instruction.

Should I attach the stage certificate?

If the contract requires one, reference it on the invoice so the client can match the payment to the approval.
