  • A short description of the work done.
  • Expenses, if they are recharged.

How to complete it

  1. Step 1

  2. Step 2

Use the rate that applied to each group.

  3. Step 3

Attach or reference a timesheet for long engagements.

Pricing, pitfalls and proof

  • How it is pricedGroup hours by task and rate, with the billing increment stated.
  • Common mistakeListing one total hours figure with no breakdown, which invites a challenge.
  • Keep as evidenceKeep the timesheet and the client approval for overtime.

Questions about this template

Should I attach a timesheet?

For engagements over a week, yes. A summary on the invoice and detail in the timesheet answers most queries before they are raised.

How do I handle rounding?

State the increment, for example six minutes or quarter hours, in the terms. It prevents disputes over a few minutes.

Can I mix hourly and fixed fees?

Yes, as separate lines. Keep the rates visible so the fixed part does not look arbitrary.

What about a minimum charge?

State it. A one-hour minimum for call-outs is normal and should appear in the payment terms.
