Pricing, pitfalls and proof

  • How it is pricedBill the agreed day rate per phase, with expenses itemised at cost.
  • Common mistakeBilling days without a purchase order reference, which stalls approval in larger clients.
  • Keep as evidenceKeep the timesheet, the deliverable and the engagement letter reference.

Questions about this template

Should expenses be itemised?

Yes, when they are recharged. A single expenses line invites a request for the receipts and delays payment.

How do I invoice a retainer plus extra days?

Invoice the retainer as one line and the extra days as another. Mixing them makes the retainer look unreliable.

What reference should I use?

The engagement letter or purchase order number. Large clients cannot process an invoice without one.

Can I bill partial phases?

Yes, if the engagement allows it. State the percentage delivered in the line description so the client can match it to the plan.
